Payroll software for South Africa, with the SARS paperwork built in
HRify runs your payroll in rand, to South African tax rules, from the same employee record that holds leave, timesheets and claims. Because HR and payroll are one system, nothing has to be exported from one to the other or reconciled between them.
Do a test run first, then the real run
A test run calculates everything and saves nothing. The real run then goes through your own approval chain, and the person who started the run cannot approve it. Each run produces:
- Payslips with a full breakdown of earnings and deductions.
- A bank file ready to upload.
- The monthly EMP201, the EMP501 at reconciliation, and IRP5 and IT3(a) certificates.
- The e@syFile import file for your certificates.

Payroll that follows SARS rules
This is what HRify payroll does, in detail.
- HRify produces the e@syFile import file for your tax certificates, and the bulk file for registering employees who do not have a tax number yet.
- Before you export anything, HRify checks every employee against SARS’s own rules and tells you which employees would fail, and why.
- HRify produces the monthly EMP201, the EMP501 at reconciliation, and IRP5 and IT3(a) certificates. It also calculates the Employment Tax Incentive (ETI) carry-forward for you.
- Tax directives, severance, back pay, bursaries, company cars and share schemes are each calculated and taxed by HRify, so nobody has to remember to adjust them by hand.
- Earnings and deductions are matched to the right SARS source codes. Anything HRify does not cover is listed up front, so nothing is silently left off a certificate.
- HRify holds the tax tables for two tax years, taken from the Government Gazette. If a figure has not been published yet, payroll stops and does not guess.
HRify produces the file and the figures. You import the file into e@syFile and submit the return yourself. There is no SARS certification for payroll software, and HRify is not affiliated with or endorsed by SARS. The full position is on the compliance page.
Payroll uses what has already been approved
Payroll is in the same system as the rest of HR, so it reads approved leave, overtime, claims and increases directly.

Leave
Payroll reads approved leave from the same employee record. Carried-over leave expires when the Act says it does, and you cannot pay out more leave than section 20(11) allows.
Timesheets and overtime
Overtime is approved separately from the rest of the timesheet. It is paid at 1.5×, and Sundays and public holidays at 2×. An overtime hour worked on a Sunday is paid at 2×, not 3.5×, because the two rates are not added together.
Claims and allowances
Approved expense claims are paid with the receipt on record. HRify also handles the six allowance types that SARS taxes differently: travel per kilometre, subsistence, uniform, relocation, meal fringe benefit and employer-paid debt.
Benefits
Each benefit programme carries its SARS tax treatment, so it is calculated correctly on the payslip and does not need to be corrected afterwards.
Increases
An increase dated for next month is applied automatically before that payroll runs. It does not depend on someone remembering.
Leavers
When someone leaves, the section 42 certificate of service and the UI-19 form are generated from their record, already filled in.
When HRify stops a payroll run
When a SARS submission has errors
HRify lists the employees with errors and the reason for each. You can still run a test export, so you can see the whole list before you fix anything.
When the figures for a new tax year have not been confirmed
On 1 March, when the tax year starts, HRify shows the figures that have changed and waits for someone to confirm them. If a figure has not been published yet, payroll stops.
When a SARS directive has not arrived
HRify holds severance and certain other lump-sum payments until the tax directive arrives, so a payment never has to be corrected afterwards.
What it costs
Payroll is part of HRify from the Professional tier: R99 per employee a month, excluding VAT, with a minimum of R1,490 a month. Each employee above 100 costs less, and above 300 employees we give you a quote based on your own numbers.
The Professional tier also includes timesheets, claims, recruitment, reviews and learning, along with everything in Starter. Work out the cost for your headcount, or see everything else HRify includes.
See HRify with your own payroll figures
Bring the figures for a payroll month you have already run. In the demo, HRify checks each of your employees against SARS rules and shows you what it finds.
